Associate Membership Policies

• Please reach out with any questions before paying your invoice, as membership dues are non-refundable.
• The membership year is May 1-April 30, regardless of your join date. Your membership will end on April 30, 2027.

• With a national membership, you have access to all NACA conferences plus NACA Live, our national convention, as well as the entire directory of member schools. The directory is an online platform where you can 1. search the college member database for leads; 2. showcase your act/services, including bios, pricing, video links, and more; and 3. get notified when a school is looking to source an act/service that matches your offerings.  
• A regional membership provides access to one conference per membership year and access to the directory of member schools for your region. Regional members do not have access to the national convention, NACA Live. Regional members have the option to upgrade their membership to national at any point during the membership year, and in that case, you just pay the difference between the two membership types.    
• Both membership types also provide year-round resources to help you navigate the college market, including webinars, member research, a digital resource library, and more.
• National members can exhibit and submit to showcase at all NACA Conferences, as well as NACA Live.
• Regional members can only exhibit and submit to showcase at one NACA conference per membership year (May 1-April 30)
• NACA’s membership year is May 1 – April 30, regardless of when you join.

• There are additional costs associated with attending, showcasing, and exhibiting at NACA events. See the below pricing table for details.
• A national membership is required to attend NACA Live.
• All associate members attend NACA events as exhibitors. Booths and conference registrations are sold separately – your booth does not include a registration. If you are planning on attending a NACA event, you will need to purchase at least one booth and one full registration for your company/act. Additional registrations and booths can be purchased as needed. Anyone attending the event will need some form of registration. Available registration types include a regular/full registration which covers one person for the entire event, and Day Pass registration which covers one person for one specific day.

• All registered delegates of NACA conferences and NACA Live are expected to stay inside the conference hotel block. If you are not staying in the conferene hotel blocl, you shulod select the non-discounted registration fee (an additional $100) when you register. If you are not booking a hotel due to your close proximity to the conference site or other unique circumstances, or are not able to secure rooms using the booking link, please email [email protected] to avoid being assessed this fee. Hotel reservations should be made using the booking link on the NACA website by the reservation deadlines listed. 
• NACA does not guarantee any form of business or number of bookings because of membership, nor do we guarantee any number of attendees per event.
• All associate attendees must be 18 years of age or older. This applies to all showcasing artists and exhibitors. An exception may be made by the Executive Director for a parent and their nursing child.

*With hotel discount. If you are not staying in the conference hotel block, you should select the non-discounted registration fee (an additional $100) when you register. 

Conference Hotel Block Requirement

All registered delegates of the event are expected to stay inside the conference hotel block. If you do not stay in the conference hotel, or you choose to book outside of the block, you should choose the non-discounted registration fee, which is $100 more per full conference registration. If the discounted fee is paid and you do not stay in the block, a $100 registration fee will be assessed post event.

• Showcase opportunities are via application, and showcasing is not guaranteed to any member.  There is a fee to apply ($180 for conferences; $195 for NACA Live), and a fee if you are selected; this fee varies by showcase category and event.

• National members can exhibit and submit to showcase at all NACA Conferences, as well as NACA Live.

• All associate attendees - including those showcasing - will need to purchase at least one booth and one full registration for your company/act. • Members may submit proposals for educational sessions via the online submission form. You or your agency must have an active NACA membership and you must also have a username and password to login to the website. 

• Educational sessions will be reviewed by a selection committee and all who submitted proposals will be notified at the end of the selection process. All proposals were reviewed anonymously by a volunteer judging team, using criteria that included clarity of learning outcomes, relevance to the field, practical application, and overall session quality. • If you are selected as a presenter, you will be required to complete the NACA Education Presenter Contract.

• All educational program moderators/presenters must be registered delegates at the event/conference. As a reminder to associate members, all businesses/agencies attending the event/conference must also purchase a booth in the Campus Activities Marketplace and have at least one full registration.

• Presenters must not use the education session to promote a particular product/service they provide. Instead, the focus of the presentation should be on delivering important content that participants will be able to utilize in their respective roles at their schools/agencies.
