The Conference Logistics Coordinator oversees registration and finances at regional events and facilitates communication of these events between the region and the NACA Office.
Coordinates regional logistics needs/requests for Conference (equipment, refreshments, technology, room set-ups, etc.) for regional programming/events and communicates these needs between the NACA Office Staff and RCPC.
Serves as RCPC on-site liaison to the on-site Meeting Planner who will ensure all equipment, refreshments, technology, room set-ups, etc. are properly set-up and ready before each program/event.
Reviews Planning Agenda with NACA Chair & Office Staff to ensure its accuracy.
Through collaboration with conference committee and direct reports, work to create a welcoming atmosphere and seamless experience for delegates/Associates at the conference.
Delegates and collects signage needs to be shared with the Communication Coordinator (including education session signage) and information to include in conference communication to attendees (conference book, social media posts, signage, etc.)
Share any conference changes (i.e. schedule updates) with Communication Coordinator and Social Media Coordinator that delegates/Associates need to be aware of.
Assist Special Events Coordinator with events and activities.
This position must attend all training calls for the volunteers they supervise.
Stay in communication with all volunteers under the Conference Logistics umbrella throughout their volunteer experience to ensure tasks are completed and that they feel engaged with the planning process.
Attends all regularly scheduled regional meetings and conference calls.
Integrates NACA goals, initiatives, and relevant strategic plan objectives in all aspects of position responsibilities.
Maintains a thorough knowledge and understanding of, and ensures adherence to NACA policies and procedures, as well as other applicable laws and regulations.
Follows NACA’s Non-Discrimination, Diversity Advancement and Affirmative Action Principles to recommend others to fill available positions in the NACA leadership and takes the necessary steps to achieve a diverse Association both through the recruitment of volunteers and suggesting to the Board of Directors new or modified programs and services for the Association’s members.
Additional responsibilities as assigned and agreed upon with volunteer supervisor.
The Conference Logistics Coordinator must be a full time professional staff member at an NACA member institution A letter indicating institutional support for the volunteer application is required prior to appointment to the position (note: support is defined as financial as well as time out of the office, etc.)
If the volunteer changes jobs during the position’s term, the new school must also be an NACA member and provide a statement of support. The NACA Office and National Volunteer Development Coordinator must be informed of this change and the letter of support must be received at the NACA Office within 30 days of hiring.)
Receives support for mid-year planning and pre-conference planning meetings. Conference Chair and NACA Office will confirm level of support.
Term of Service
Fall Conference December 1 of the current year through November 30 of the next year.
